Scope and engagement model
We take on the communication, documentation and coordination side of your trade operations with China: supplier correspondence, contract and specification translation, official document procedures, supplier verification and production follow-up. You remain the party that buys the product, makes the payment and takes the commercial decision.
Yes. A single contract translation or interpreting for one meeting can be commissioned on its own. Moving to an integrated programme remains possible at any stage; there is no need to start with a large package.
Yes. Communication management, documentation and production follow-up can be brought into scope while the existing commercial relationship stays intact. No change of supplier is required and nothing is done that would disturb the relationship.
No. No payment, commission or rebate of any kind is accepted from suppliers. All revenue comes from the client company, which is why the only party represented in negotiations is you.
No. The purchase contract and payment are established directly between you and the supplier. HanLink is the consultant running the process, not a party to the trade itself.
No. Transport and customs clearance fall outside the scope of consultancy. Document coordination with the providers handling them is arranged and the completeness of the document set is tracked.
No. Field visits, factory audits and on-site quality control in China are outside our scope. Where such a need arises, we refer you to accredited inspection bodies and coordinate the documentation side.

Documents and translation
Contracts, proforma invoices, specifications, technical drawing notes, product catalogues, test reports, quality plans and user manuals are all in scope. The intended use is established first: a file attached to a quotation and a text appended to a contract do not call for the same level of scrutiny.
Work runs three ways between Chinese, Turkish and English. Even where the contract is in English, critical documents reaching the production floor are also fixed in a Chinese version, so the text on the line matches the text that was signed.
A glossary is built at the start of the project and maintained throughout. The same concept keeps the same rendering across documents, and any debatable term is recorded together with its rationale.
Yes. Previously commissioned translations are given a second review. Ambiguous clauses, missing units and terminology inconsistencies are flagged in a separate report.
A drawing is a good starting point but often not sufficient on its own. Where material grade, tolerance, surface treatment and packaging are absent, the factory applies its own convention. In that case, building the specification becomes part of the work.
Yes. Commercial information, pricing and supplier records are not shared with third parties. Confidentiality is secured by the engagement contract, and a separate non-disclosure agreement can be signed on request.
It depends on volume, technical density and whether an official procedure is involved. A firm delivery date is given once the document has been reviewed, and that date is committed to.

Sworn translation, notary and apostille
Sworn translation means a translator who has taken an oath before a notary declares the translation with their own signature and seal. Notary certification is a separate step carried out at a notary office, where the notary certifies the translator’s signature rather than the content. The institution requesting the document decides which is needed.
An apostille is a certificate issued by a competent authority so that a public document is recognised in another country, and it comes after notary certification. In the Republic of Türkiye, which authority issues it depends on the type of document.
China became a party to the Hague Apostille Convention on 7 November 2023. Public documents issued in China after that date may take the apostille route instead of consular legalisation. Practice varies between institutions, so the current requirement is confirmed in writing each time.
No. Notary certification and apostille are carried out by notaries and the relevant public authorities. Our work consists of clarifying which procedure is required, preparing the document set in full and following the process on your behalf.
No such undertaking is given; acceptance is the receiving institution’s decision. What we provide is the elimination of avoidable grounds for rejection and a process run in the correct order.

Hosting visitors and interpreting
An agenda and draft programme are prepared before arrival, and simultaneous or consecutive interpreting is provided during meetings. Outcomes are summarised in writing after each session and follow-up correspondence is handled after the visit.
Interpreting and programme coordination are provided for site and factory visits in Türkiye. For technical tours, sharing product information in advance is enough for the terminology to be prepared.
Yes. Preparing the meeting agenda, presentations and company profile texts in Chinese is part of visitor coordination.
At least a week before the visit is ideal, so the programme and terminology can be prepared. Shorter notice can also be accommodated; in that case the scope is agreed during the call.

Communication and process coordination
Yes. A corporate communication channel is set up on your behalf and all correspondence runs through it. Outcomes are reported in writing and matters requiring a decision are submitted for your approval.
Reporting frequency is set in the scope document. Reports state completed steps, pending items and decisions awaited from you under separate headings. Anything urgent is reported without waiting for the next report.
China is five hours ahead of Türkiye and the counterparty’s working day ends in the Turkish afternoon. A shared working window is therefore defined and a priority order is set for requests that must be passed on the same business day.
Yes. Correspondence records, translations and approval records created during the process are filed. When the file is closed, the entire archive is handed over to your company.
Usually within a few business days of the scope document being approved. The exact start date is stated in the proposal according to the size of the scope.
The engagement can be ended by observing the notice period set out in the scope document. On termination, all documents, correspondence and records created up to that point are handed over to your company.
